Position: Coordinator of Community Services Drinking Driving Program
Reports to: Director of CAPE
Salary: Staff & Chair Grade II
Qualifications:
Required: Bachelor's with at least three years experience working with treatment programs.
Supervisory Experience.
Duties and responsibilities:
1. Supervise DDP Instructional Supervisor, 10 DDP Instructors, and 5 CASAC Instructors, DDP Secretary, and student aide.
2. Prepare DDP and CASAC course and faculty teaching schedules.
3. Enter, and/or supervise support staff in the process of entering, course sections on the College RISC system, the CAPE web-based database, the Alpha Four database, and the OASAS on-line training calendar, each semester for DDP, Defensive Driving, Pre licensing and CASAC courses.
4. Receive class rosters from the Goshen DMV office when DDP classes are filled. Obtain and print driving abstracts by using the DMV dial-in system.
5. Prepare, and/or supervise the preparation of, individual class files (paper and computer).
6. Prepare, and/or supervise the preparation of, individual student files for all DDP & CASAC students (paper and computer).
7. Answer DDP student questions regarding date and location of class and reschedule students who do not appear at the class DMV originally scheduled them for.
8. Supervise the preparation of DDP completion certificates for each individual student (also referred to as "Green Slip" form MV-2026) to be given to student to take to the Department of Motor Vehicles upon satisfactorily completing the DDP class.
9. Responsible for registration of students before class begins and insuring that payment is received.
10. Be in contact with state approved clinics and private practice counselors (approved by DMV) and follow-up each month on each student referred to them regarding attendance and current status.
11. Maintain records relating to drug-related convictions and referrals.
12. Prepare monthly Report of Treatment Attendance and retain on file for DMV audit purposes.
13. Produce computer-generated Individual Treatment Attendance Reports and distribute to support staff to mail to all active Referral Agencies/Counselors regarding students in the Referral phase of the DDP.
14. Maintain and update student's individual referral attendance file each month. Follow-up to be made by contacting non-complying students to advise them that they must complete the program as mandated by DMV.
15. Issue Termination Notices (also referred to as "Pink Slips" form MV-2025) to the Department of Motor Vehicles.
16. Maintain records on students re-entering the program; collect re-entry fee.
17. Respond to all correspondence from the Department of Motor Vehicles regarding program matters.
18. Respond to telephone calls and correspondence from DDP students, instructors, referral provider counselors/agencies, and Department of Motor Vehicles personnel.
19. Prepare annual statistical report for the Department of Motor Vehicles.
20. Coordinate the evaluation, in conjunction with the DDP Instructional Supervisor, of DDP faculty for purposes of re-employment or termination.
21. Interview applicants for DDP and CASAC faculty positions and recommend to the Department of Motor Vehicles and/or the New York State Office of Alcoholism and Substance Abuse Services (OASAS) for employment by the College
22. Prepare a monthly report for the Director of Continuing and Professional Education that includes the number of students served, tuition income, expenses, profit and a comparison to previous year.
23. Prepare, and/or supervise the preparation of, advertising brochures for Defensive Driving & Pre-Licensing Programs and for the CASAC Program each semester. Maintain mailing lists/databases and supervise the preparation of mailings each semester.
24. Prepare copy for Continuing and Professional Education Bulletin each semester.
25. Prepare and supervise the input of data for the payroll system for DDP and CASAC Instructors.
26. Update the DMY-Approved Referral Provider database twice annually.
27. Prepare, and/or supervise the preparation of, records to be archived each year.
28. Maintain and update catalog of Credentialed Alcoholism and Substance Abuse Counselor (CASAC) courses to be distributed to students and potential students.
29. Submit courses, and/or supervise the submission of courses, to the New York State Office of Alcoholism and Substance Abuse Services (OASAS) for approval to be taught under our education provider number.
30. Supervise the preparation of certificates of completion for students who successfully complete each of the 24 individual CASAC courses within the training program.
31. Supervise support staff in tracking the progress of each CASAC student enrolled in the yearlong certificate program to insure that they are meeting the 369-clock hour requirement.
32. Advise and answer questions from CASAC students and potential CASAC students regarding requirements and concerns.
33. Coordinate CASAC Packet Preparation Workshops 3 times per year for those students completing the 369-hour certificate program and issue Certificates of Completion to graduates.
34. Communicate with CASAC Instructors and DDP Instructional Supervisor on a daily to weekly basis regarding program matters.
35. Supervise the preparation of CASAC course calendars for distribution to students and instructors 3 times per year indicating the course content to be taught throughout the yearlong program.
36. Supervise support staff in arranging for room assignments, photocopying, TV/VCR and media equipment for each class meeting
37. Coordinate with Mid-Hudson Safety Associates each week regarding Defensive Driving and Pre-Licensing courses and scheduling; supervise the preparation of vouchers for invoices that are submitted.
38. Prepare the annual budget for the DDP area.
39. Participate in the annual planning process for the Department of Continuing and Professional Education.
40. Coordinate with the Marketing Department for press releases and display advertisements to market Defensive Driving, Pre-Licensing, and CASAC courses on a regular basis.
41. All other related duties as assigned.
